The Administrative Coordinator - HR, provides administrative support for the Project Leader(s) in HR, indirectly provides support to the office of the Senior Vice President of HR (a UHS company officer); and provides administrative support to the Staff Vice President, Employee Benefits and the Director of Benefits Operations. Essential Job Duties: - Prepares monthly and quarterly reports for all departments as requested under the Senior VP; recruitment, benefits, operations, and compensation (Senior VP monthly and quarterly objectives/results, quarterly tenure report, monthly recruitment staff report for all facilities in the field, monthly CORP phone list, bimonthly HR Directors list, etc.).
- Manages department calendar and coordinates internal and external meetings on behalf of the Staff VP, Employee Benefits and the Director of Benefits Operations.
- Processes, delivers, and redirects (if necessary) the HR Department's daily mail from both internal and external sources.
- Processes and tracks invoices paid out of the HR Department.
- Prepares, edits and distributes communication pieces from the Staff VP, Employee Benefits to various internal UHS audiences.
- Maintains inventory and orders office supplies for the department (monthly).
- Creates process and tracking mechanisms for any new department procedures.
- Assists the Learning and Development Department with ordering, packing and shipping training materials to facilities for L&D consultants;
- Manages the Iron Mountain vendor relationship for the HR department, tracks items issued for storage, maintains process and invoices.
- Updates and submits Equifax HRD contact list used for Employer Casebuilder access. Receives and redirects incoming notices and mail, e.g. new hire wage audit, requests for earnings and miscellaneous requests for additional information.
- Assists Project Leader(s) with large projects, such as the annual Hospital Management Conference (which includes a weekend), company picnics, holiday parties and other employee relations events for the Corporate Home Office.
- Screens phone calls for the Senior VP of HR and the Project Leader(s).
- Provides break relief (lunch hour - occasionally, morning break - 15 min, afternoon break -15 min) for HR receptionists in rotation with other assistants in the department.
