SUMMARY OF POSITION:
The Medical Office Supervisor is responsible for overseeing the daily work of the receptionists, file clerks and transcriptionists to ensure the smooth efficient operation of the office. Ensures that patient appointments, concerns and questions are dealt with in a timely, courteous manner. Maintains clear communication between the front desk and the providers regarding changes to the appointment schedule, and see that patient bills and insurance claims are mailed in a timely manner.
The Medical Office Supervisor is also responsible for clerical supervision and management including; cost effective management of office supplies, high integrity adherence with organizational policies surrounding quality of patient registration, point of service cash collections and cash control, scheduling, and other clerical support functions, patient satisfaction with clerical staff experience, and clerical staff employee engagement.. Assists Manager and Medical Director in integration of institutional initiatives at the practice site, contributing to continuous improvements in quality and service.
Orient, train and supervise all front office staff
Prepare front office staff work schedule and job assignments
In conjunction with the Site Manager, conduct performance appraisals for front office staff as required
Assist the Site manager in the hiring of front desk personnel, file clerks, and transcriptionist
Assist with the writing and revising of procedure relevant to the front office
Ensure that all practice policies and procedures are followed Answer patient questions regarding their bills
Assist patients in establishing a payment schedule. Assist patients with questions or concern regarding their accounts
Associates Degree and 3 years of experience in a medical office setting required OR a combination of Education and Experience.
Must have current HMC MOA Certification or obtain MOA Certification within three (3) months of hire.
KNOWLEDGE, SKILLS, & ABILITIES:
Proficient with Microsoft Office products, hospital systems
Ability to communicate with diverse population
Ability to work without direct supervision and prioritize all duties
Excellent communication skills
A passion for service excellence
Preferred supervision experience in the ambulatory setting
Demonstration of clerical team supervision skills
Problem solving skills
Personal temperament to collaborate with diverse groups, promote clinical staff engagement and teamwork
Prior supervisory experience (2 years) in a medical office preferred
