Collaborates with all Physician Enterprise leaders, Digital Health, and AIT to create a scheduling model that is flexible and simple to use.
Responsible to evaluate and make recommendation for Enterprise wide scheduling model adjustments as need or software changes are brought forward.
Responsible to determine which level of authorization is needed to support scheduling model adjustments and work with the appropriate parties to gain approval up to and including PE Governance approval.
Builds solid cross-functional relationships
Collaborates with business leaders to scope and prioritize ambulatory optimization projects and programs
Develops customized, solutions-oriented improvement and adoption plans specific to individual practices and coordinates and oversees successful implementation of these plans
Focuses on business performance that constantly strives to eliminate waste and improve customer satisfaction
Collaborates with AHS Physician Enterprise reporting resources to establish and oversee a performance measurement and improvement program
Utilizes reports for analyzing data related to performance measures by region, medical group, specialty, practice, and provider to review and promote optimal outcomes in support of Physician Enterprise objectives
Contributes to identifying and conducting benchmarking, site visits, and research for best practices
Develops strategies to ensure all Physician Enterprise practices are supported with scheduling template management within published SLA’s.
Provides exceptional customer service by partnering directly with medical group leaders and key resources to optimize their use of the EHR and related technologies to ensure ongoing success of the practices
Provides oversight with the Practice Performance Team, including formal management of a team of Template Analysts
Performs planning and overall operations management for the Template Team, will work with medical groups to secure funding as needed.
Focuses and manages individual performance by helping others to set performance goals, track results, and evaluate performance effectiveness including annual review/evaluations
Leads Template Analysts to review and evaluate current-state physician practice schedules and provide future-state suggestions and the utilization of established tools and materials to achieve and sustain enterprise goals around scheduling templates
Maintains stable performance under pressure or opposition (i.e., experiencing time pressure, conflict, or job ambiguity) and evaluates needs of organization accordingly
Applies techniques from other industries such as Lean Manufacturing, Six Sigma, and Kaizen
Works with the Training Development and Delivery teams to ensure their training content and outreach is based on best practice workflows and aligns with organizational core competencies
Organizes and designs direct coaching to practices, and presents at/facilitates events (e.g., training, rapid improvement, etc.), as needed
What You Will Need:
Bachelors in business, engineering, IT or healthcare related field required. Required 8 years’ experience in the following areas:
Epic Cadence Certification within 3 years of employment. Must maintain Certification after it has been established.

The Manager of Scheduling and Access position will be based in our Physician Enterprise department. This position will report directly to the Director of Patient Access and Capacity Management and is based at our Corporate Headquarters in Altamonte Springs, FL.
The Manager of Scheduling and Access collaborates with all Physician Enterprise physician practices to maintain overall performance and maintenance of the scheduling templates and scheduling operations within AdventHealth. This position will leverage expertise in building scheduling templates, practice workflows, practice management/revenue cycle systems, and performance improvement methodologies. The Manager serves as the central resource for physician practices on the development and implementation of physician scheduling and capacity of scheduling available to all parties who may schedule into the provider’s schedule; including, In-office On-line, Care Coordinators, Care Navigators, and Outside Vendors who have scheduling agreements with AdventHealth. The manager oversee a multimarket team of Template Analysts. This position will impact staff wellbeing, staff satisfaction, consumer engagement, financial outcomes, clinical outcomes, and efficiency of the PE scheduling operations.
The Manager of Scheduling and Access must be skilled at communicating across multiple levels of the organization. Significant focus will be placed not only on the optimization of EHR scheduling systems but responsibilities for guiding the team to deliver whole practice improvement – including but not limited to activities focused on policies and procedures, regulatory programs, quality programs, patient flow, and task allocation is included. The Manager is responsible for organization, control, leadership, and supervision of approximately 10 Template Analyst who will work remotely and travel to provide on-site improvement of scheduling operations to support at All Physician Enterprise practices and other AdventHealth business units, such as CentraCare or Hospital Operations. These staff members will work directly with leadership, providers, and all clinical personnel to build the most efficient and effective schedules for providers.
