Position Summary: We have an exciting opportunity to join our team as a Secretary II- Ambulatory Care Center Endoscopy- Day Shift (35 hours).
In this role, the successful candidate As a member of the interdisciplinary healthcare team, under the direct supervision of OR leadership, performs clerical and receptionist responsibilities.
Responsible for other assignments as designated by Leadership.
General Computer and office functions - Files and/or copies materials as needed. Properly formats drafts and final copies of the OR schedule according to instructions in accepted style. Enters stores and retrieves worksheet and other information correctly according to the machines operational instructions. Prints reports from OR Scheduling/Registration System.
Demonstrates the use of high level interpersonal skills when interfacing with Administration, Physicians, Managers and other associates as observed by Nursing Leadership and feedback from associates. Answers telephone calls in a timely, pleasant and professional manner as measured by feedback from staff and directsupervisory observation. Answers telephones and relays messages to appropriate individuals as evidenced by direct observation. Directs or transfers calls to appropriate persons as required as observed by Leadership. Demonstrates polite and courteous manner in dealing with all associates.
Coordinates and Organizes daily work in an efficient manner. Retrieves requested case via fax, phone or web form. Accurately schedules OR procedures via theOR scheduling system of the time. Refers scheduling conflicts (block,time, tool) to operational Nurse Manager or designee for approval prior to overriding the conflict. Accurately schedules pretesting appointment for patients as needed. Accurately registers (pre-admit) patient for a procedural account utilizing the appropriate account selection for patient type.
Issues medical records number after completing a thorough search in EPIC data base with 100% accuracy to avoid duplicate medical records.
Accurately registers patient for a pretesting account (pre-admit) utilizing the appropriate patient type. Closes the OR schedule daily, moves cases to fill gaps in schedule. Communicates with the Nurse Manager to identify possible changes/conflicts. Follows through on plans. Presents schedule to Nurse Manager and Anesthesia Site Director (or designee) for approval by 11am. Final OR schedule printed for distribution at 4pm daily. Communicates all changes with Anesthesia, Nurse Manager, surgeons, OR, Surgery Center as indicated.
Maintains file system of reservations in neat, orderly fashion.
Participates in the orientation ofnew employees.
Responsible for performing routine system function by accepting and verifying each case daily.
Responsible for running basic Ad-hoc reports as requested.
Minimum Qualifications: To qualify you must have a High School diploma. Three years of relevant medical clerical experience. Knowledge of medical terminology. Background in computer literacy preferred. Light, accurate keyboarding skills required. Excellent organizational, interpersonal and communications skills required.
Preferred Qualifications: Excellent verbal and written communication skills and Knowledge of medical terminology. Computer skills, including Microsoft office and database maintenance. Ability to handle multiple projects and deadlines. Ability to cope with interruptions, varying personalities, and rush projects. Must be well organized and able to prioritize responsibilities to meet deadlines. Must be able to achieve and maintain good working relationships within the Department as well as other Departments in the NYU Health System.
